The Best App to Run a Theatre or Film-goer Circle (Without Spreadsheets)

An event circle is a wonderful thing: same crew, every other week, lights down. It's also a recurring admin job — who's coming, who books, who paid, what did we even see in March? Here's how to run the whole club from one app. We know it works, because TicketFae was built by a film-goer circle, for itself.

The event-goer circle admin loop

Every screening cycles through the same six chores. Most clubs scatter them across a group chat, a spreadsheet, a banking app and someone's memory:

1. Announce the event and date
2. Count heads (and plus-ones)
3. Buy the tickets in one row
4. Get everyone their ticket
5. Collect the money
6. Argue about whether the film was any good

Set up once: your member list

Create a buddy list — say, Heidelberg Theatre Club — with all members. It's reusable forever: every new screening polls, splits and bills the same people. Members who install the free (not yet released) TicketFae Buddy app get tickets, payment requests and rating polls automatically; the others get normal messages. Mark the members who pay their own way as sponsors so they're never chased for money.

Each visit: two minutes of admin

• Create the event — or upload the pdf tickets to extract the event, date and venue if already purchased.
• Poll seats — the card fills live: "8/8 answered, 11 tickets". Buy exactly that, sit together.
• Split the ticket PDF — one ticket per member, seats and barcodes intact, billed in the same tap.
• Settle by QR code — scan, pay, done; the Spending tab tracks the club's money by member, film or season.

The payoff: your club's history, kept

This is where a purpose-built app earns its place. After each film, tap 👍 to run a rating poll — anonymous or named, overall or per category (camera work, music…). Results sync to every member. Then the Insights tab quietly becomes the club's archive:

• Every film rated — "Jaws, 4.5 ★, 3 votes" — settle the pub argument with data.
• Frequent Flyer ranking — who actually showed up (27 events, Alan — respect).
• Season stats — spending totals, favourite venues, monthly activity, a 12-month event calendar.
• Photos with the event — the group selfie lives on the screening it belongs to, not lost in someone's camera roll.

Works beyond cinema

Theatre subscription circles, concert crews, stadium regulars, festival squads — any recurring group that buys tickets together has the same loop. The venue changes; the admin doesn't.
